LPA Show Ready Audit — operated by Living Planet Aquarium
Last updated: May 29, 2026
The LPA Show Ready Audit app (the “App”) is an internal tool
used by Living Planet Aquarium (“LPA,” “we,”
“us”) staff to complete facility show ready audits, report
issues, and view audit dashboards. Access is restricted to authorized
Living Planet Aquarium staff with an @livingplanetaquarium.org
email address. This policy explains what information the App collects, how
we use it, and the choices you have. It applies to the App on iOS, Android,
and the web.
Information we collect
- Account information. When you sign in, we collect your
email address, your name, and a unique account identifier provided by our
authentication provider (Google Firebase Authentication).
- Audit submissions. The audit area, date, auditor name,
your Yes/No (and rating) answers, issue categories, notes, and summary
counts you enter.
- Photos. When you report a flagged or one-off issue,
the required image is included in the issue report email sent to the
relevant department. Photos are not stored in the App's
audit database — they are transmitted with the report only.
- Push notification tokens. If you allow notifications,
we store your device's push token and platform (iOS/Android) so we can
send the weekly rotation assignment. No notification content is read from
your device.
- Camera access. The App requests camera and photo
access only to let you capture or attach a photo to an issue report. We do
not access your photo library or camera at any other time.
- App diagnostics. The iPhone app keeps a bounded queue of crash and hang call stacks, app version, build number, and startup diagnostics. After staff sign-in, these are sent to our internal error reporting service to investigate reliability issues. They do not include audit answers or photos.
- Technical data. Standard request information (such as
timestamps and connection data) processed by our hosting and backend
providers to operate and secure the service. The App does not use
third-party advertising or analytics tracking SDKs.
How we use information
- Authenticate you and restrict access to authorized LPA staff.
- Record and store completed audits and issue reports.
- Route issue reports by email to the responsible department
(e.g., Facilities, Guest Services, Creative, Zoo Ops, IT).
- Send the weekly show ready rotation assignment by email and/or push
notification.
- Display audit history, completion, and campus-health dashboards.
- Maintain the security and reliability of the service.
How information is shared
We do not sell your information or use it for advertising. We share data
only with the service providers that operate the App on our behalf:
- Google Firebase — authentication and the audit
database (Firestore).
- Netlify — web hosting and the backend functions that
process submissions.
- n8n — workflow automation and the audit response
data tables.
- Google Gmail — delivery of issue report emails to LPA
department leaders.
These providers process data under their own terms and security practices.
We may also disclose information where required by law.
Data retention
Audit records and issue reports are retained for as long as needed for
operational and record-keeping purposes. Account and device-token records
are kept while your account remains active. You may request deletion of your
account or associated data using the contact below.
Your choices
- Notifications. You can enable or disable push
notifications at any time in your device settings.
- Camera/photos. A photo is required when you report an
issue. You can still complete an audit without camera access when every
response is satisfactory and no issue is reported.
- Access & deletion. You may request access to,
correction of, or deletion of your information by contacting us.
Security
Access requires authentication and is limited to Living Planet Aquarium
staff accounts. Data is transmitted over encrypted (HTTPS/TLS) connections.
While no system is perfectly secure, we take reasonable measures to protect
the information in our care.
Children's privacy
The App is an internal staff tool and is not directed to children. We do not
knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. Changes will be posted on this
page with a revised “Last updated” date.
